We are seeking a detail-oriented Administrative Assistant to join our team.
The ideal candidate will provide administrative support, handle office tasks, and assist in ensuring the smooth operation of the office.
Overview:
Your Key To Senior Living Options is a leader in helping clients find ideal senior living arrangements, including Independent Living, Assisted Living, and Memory Care facilities.
We are seeking a dedicated Administrative Assistant to join our team.
This role primarily involves handling inbound calls, managing client information in our CRM, and ensuring seamless communication between clients and our Senior Living Advisors.
Responsibilities:
Answer inbound calls with a professional demeanor, gather client information, determine their needs.
Create and manage leads in the company CRM system, ensuring all client data is accurate and up-to-date.
Assign new leads to appropriate Senior Living Advisors for further action and follow-up.
Post content to social media accounts.
Assist in daily office needs and support various administrative tasks to ensure efficient operation.
Maintain schedules, including coordination of meetings and appointments.
Manage correspondence, including emails, letters, and packages.
Maintain a filing system for important and confidential company documents.
Order office supplies and handle other procurement duties as needed.
Support our Senior Living Advisors and assist in preparing reports and presentations.
Other duties as assigned.
Requirements:
Proven experience as an Administrative Assistant or similar role, preferably in a healthcare or real estate environment.
Strong knowledge of office management systems, procedures, and office equipment.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with CRM systems.
Exceptional communication and interpersonal skills to interact effectively with clients and staff.
High attention to detail with the ability to prioritize and manage multiple tasks.
High school diploma required; additional qualifications in administration or relevant fields are preferred.
